Logistics and Procurement Officer will be responsible for providing logistics and administrative support to the team in every-day work, participate in procurement processes. Logistics & Procurement Officer’s work will aim to support the primary objectives of the Organization especially in the emergency situation.

Responsibilities:
Logistics support:
  • Ensures that all transactions pertaining to receiving, dispatching and distributing goods are accurately captured in the stock system and all the documentation archived accordingly
  • Maintains regular contacts with external partners in the logistics field
  • Supports in making travel arrangements (transportation and accommodation for staff and PIN visitors in an efficient way), driver’s follow-up support, restaurant reservations in case of need
  • Provides logistics support to Programs and PIN team including venue organization, transportation & supplies provision inclusive
  • Supports in asset management (registering and update status of all assets, track the movements of the assets by assigning and changing responsible persons, print and make sign asset handover forms, conduct yearly asset inventories)
  • Supports purchases of office-related consumables and supplies
Procurement support:
  • Participates in the procurement of goods and services requested from the Project team according to PIN and donor rules
  • Maintains purchase requisition forms (PRF) tracking table
  • Updates supplier’s database and keeps track of the references received or obtained during the cooperation
  • Prepares, follows up and archives of contracts, supports in obtaining signatures for contracts
  • Supports Project staff in developing item specifications upon the need
  • Follows-up tender process is conducted according to the PIN procurement standards
  • In cooperation with finance team keeps track of the payments to suppliers conducting daily checkup of electronic invoice system
  • Other tasks as assigned by the line Manager

 
Requirements: 
  • University degree preferably in Finance, Accounting, or related fields
  • At least 2 years of logistics & procurement work experience
  • PC proficiency (Outlook, MS Office)
  • Excellent in English and Armenian, fluency in Russian will be viewed as an advantage
  • Attention to details and ability to remain calm under pressure
  • Ability to plan own tasks, and excellent time management skills
  • Good communication (spoken and written) skills, including ability to explain and present complex information and prepare written documents
  • Teamworking skills: good interpersonal skills and ability to establish and maintain effective working relations with people in multi-cultural, multi-ethnic environment with sensitivity and respect for diversity
